Job Purpose

Maintain budget records, reconcile and submit invoice statements, maintain personnel and other important records, and assist the other clerical and administrative staff when needed.

Essential Functions

Monitor/analyze departmental budgets and expenditures for the various departments of Enrollment Management and Career Placement. Prepare and process payroll and Personnel Action Forms (PAF’s). Assist the Vice President with calendar and communication management, making travel arrangements, organizing meetings, etc. Monitor and order/purchase office supplies. Coordinate and maintain the policies of the various units of EMSS and verify that all policies are up-to-date on the University’s Policy Central website. Coordinate and maintain the risk assessment analyses. Other duties as assigned by the Vice President.

Minimum Qualifications

High school diploma or equivalent. Three years of recent secretarial/clerical/financial experience. Computer experience with the use of various office software packages such as Microsoft Word, Excel, etc.

Preferred Qualifications

Associate’s degree in Accounting or similar field. Experience with maintaining budget records or specific training in the area of budget maintenance. Three years of recent experience in higher education and student information systems. Ability to communicate effectively. Knowledge of math and financial functions and terms. Ability to multi-task and prioritize responsibilities. Ability to work effectively with various populations such as students, parents, other employees, and outside vendors.

Work Hours

Typical hours are Monday-Friday, 8:00 a.m. until 4:30 p.m.

Compensation and Benefits

Salary Commensurate with education and experience; Clerical & Support Skill Level 5.
Benefits Information

Benefits include the initial accumulation of one vacation day per month and one sick leave day per month, and thirteen (13) University holidays. Other benefits include medical and life insurance (shared cost with the university), retirement, optional 401k, and educational benefits.
